The Talent Acquisition Coordinator will deliver high-touch interview experiences for senior leadership and technical candidates while managing complex scheduling, travel, and stakeholder coordination. Partnering closely with recruiters, executives, hiring managers, and executive assistants, this role owns interview logistics from scheduling through completion, ensuring hiring processes maintain momentum even as calendars, priorities, and timelines change. This position is focused specifically on interview coordination and does not support onboarding activities.
Responsibilities
- Manage end-to-end scheduling for executive and technical interviews, including panels, multi-day interview loops, assessments, and cross-functional sessions.
- Coordinate complex calendars across senior executives and stakeholders with competing priorities.
- Identify scheduling conflicts and proactively develop solutions that maintain hiring timelines.
- Prepare accurate interview schedules, communications, materials, and logistics in advance of candidate interviews.
- Serve as a primary point of contact for candidates throughout the interview process.
- Coordinate candidate travel, including flights, hotels, ground transportation, and detailed itineraries.
- Manage candidate travel reimbursements and resolve expense, cancellation, or travel-related issues.
- Partner with recruiters, hiring managers, and executive assistants on interview strategy and scheduling priorities.
- Maintain accurate interview and travel information within the Applicant Tracking System.
- Monitor scheduling SLAs, compliance requirements, and established recruiting procedures.
- Identify process improvements that increase scheduling efficiency and strengthen the candidate experience.
- Support reporting on interview timelines, scheduling efficiency, and travel metrics.
Qualifications
- At least 2 years of recruiting coordination, executive scheduling, or complex calendar management experience.
- Experience managing high-volume, complex scheduling across senior-level stakeholders.
- Experience coordinating executive panels, multi-stage interviews, or other complex interview schedules.
- Experience supporting executive-level or technical recruiting is preferred.
- Experience coordinating corporate or candidate travel and processing reimbursements is preferred.
- Experience with Applicant Tracking Systems; SAP SuccessFactors or a similar platform is preferred.
- Proficiency with Microsoft Outlook and Microsoft Teams.
- Experience handling confidential candidate, executive, or hiring information.
- Ability to manage multiple concurrent, time-sensitive scheduling workflows and rapidly changing priorities.
- Professional written and verbal communication skills for interaction with candidates, executives, recruiters, and hiring stakeholders.
