The Client Services Coordinator will serve as a primary point of contact for clients pursuing management system certifications, overseeing projects from contract signature through audit delivery, certification, and invoicing. Working in a fast-paced, client-facing environment, this role will coordinate audit schedules, maintain certification data, resolve client needs, and collaborate with auditors, Sales, and Technical teams to ensure projects remain on schedule.
Responsibilities
- Manage client certification projects from contract signature through audit completion, certificate issuance, and invoicing.
- Serve as a primary client contact, responding to requests and providing timely, accurate information.
- Coordinate audit scheduling between clients and auditors while ensuring required audit windows and deadlines are maintained.
- Manage multiple client projects and competing priorities within a fast-paced environment.
- Review audit information and update internal systems to reflect changes affecting client certifications.
- Monitor scheduling, planning, response times, reporting, and other established performance metrics.
- Coordinate with Sales, Technical, auditors, and other internal stakeholders to resolve project needs.
- Ensure certification requirements, internal procedures, and established timelines are followed.
- Track certificate issuance and support on-time delivery to clients.
- Support invoicing and collections activities as required.
- Review audit protocols, work instructions, and certification documentation to identify requirements and next steps.
- Apply critical thinking to resolve scheduling, project, and client-service challenges.
Qualifications
- Minimum 5 years of customer service, client services, project coordination, or related professional experience required.
- At least 1 year of experience relating to ISO 9001, ISO 14001, and/or ISO 45001 required.
- Some college coursework required; Associate's or Bachelor's degree preferred.
- Experience coordinating client schedules, projects, audits, assessments, or certification activities.
- Experience communicating directly with clients through email, telephone, and virtual meetings.
- Proficiency with Microsoft Office.
- Ability to read and interpret audit protocols and work instructions preferred.
- Experience managing multiple deadlines, projects, and client requirements simultaneously.
- Strong written and verbal communication skills required.
- Strong critical-thinking and problem-solving skills required.
- Ability to work a hybrid schedule in Katy, TX.
