Primary Services is excited to announce the role of Contract & Procurement Assistant for a large, multinational client. This position offers the opportunity to work closely with senior management and the Supply Chain Team, providing critical administrative and operational support across multiple procurement and contract management work streams. The role combines administrative precision, contract support, and process optimization in a fast-paced, high-visibility environment.
Responsibilities:
- Prepare and update contracts using recommended Contract Authoring Tools within SAP Ariba.
- Support competitive sourcing exercises, including Requests for Information (RFI) and Requests for Proposal (RFP), evaluation of submissions, and documentation of results.
- Manage contractor onboarding in accordance with site policies, ensuring safe and compliant execution of work.
- Coordinate office activities and operations to maintain efficiency and compliance with company policies.
- Review, audit, and support the resolution of invoices in conjunction with Accounts Payable.
- Maintain records, databases, and reports; perform data analysis and support reporting requirements using Excel, Salesforce, or Power BI.
- Organize and schedule team meetings, manage calendars, and coordinate visitor logistics.
- Support the Supply Chain Team with contractual, legal, tax, and financial inquiries.
- Ensure adherence to HSSE, ethics, compliance, and corporate governance standards in all tasks.
- Facilitate smooth communication and collaboration between Supply Chain Teams and other organizational support functions.
Qualifications:
- Proven experience as an office administrator, office assistant, or in a relevant administrative role.
- Proficiency in Microsoft Office Suite, including Excel, Word, and Teams.
- Experience with SAP, including Requisition-to-Pay processes, invoice resolution, and material tracking.
- Familiarity with contract setup and management in SAP Ariba is preferred.
- Experience with Salesforce and Power BI is a plus.
- Understanding of procurement, supply chain, or contracting processes preferred.
- Knowledge of basic accounting principles and office management procedures.
- Ability to manage confidential information with high accuracy.
- Eligibility for TWIC card approval; ability to pass background screening and drug testing requirements.
- Commitment to HSSE, ethics, and compliance standards.
